“Privacy Policy Notice” is the legal statement of the Association of Sri Lankan Lawyers in the UK (ASLLUK) that informs you of the: members of the committee, members and users of this website; of the ways in which ASLLUK collects, processes, stores, manages and otherwise uses information about you, and of your rights in relation to such information. For ASLLUK, it is very important that you understand how ASLLUK uses your personal data, and we take our obligations in this regard very seriously.

ASLLUK is the data controller in relation to the personal data it processes, subject to Third Party Links as mentioned below.

What categories of personal data does ASLLUK process?
ASLLUK may process the following types of personal data:

  • Identification data, such as name, membership status;
  • Contact details, such as email address, address, telephone number, social media usernames;
  • Employment details, such as place of work/training, job title, type of law firm, practice area;
  • Financial data, such as bank account details, status of payment;
  • Any additional membership data collected;
  • Any food dietary requests; and
  • Photographs taken at events.

ASLLUK may also process diversity information such as racial or ethnic origin, health, sexual orientation and/or social mobility information. You will be notified prior to such processing.

Why does ASLLUK need to collect, process and use my personal data and what is the legal process for doing so?
ASLLUK processes personal data for the following purposes:

  • To send regular emails to its members and those interested in its activities;
  • To invite you to our events and activities when you subscribe to our mailing list or attend a similar event;
  • To create guest lists for events we host and you sign up to;
  • To receive payment of membership fees, event ticket fees and donations;
  • To interact and communicate with you via email and social media platforms;
  • To promote ASLLUK events and our sponsors, such as law firms and chambers.

ASLLUK may utilise the following lawful bases for processing your personal data:

  • Fulfilment of a contract
  • Legitimate interest – for example, to facilitate events and to communicate with you
  • Consent

Please notify ASLLUK prior to attending any events if you do not want your photographs to be taken and to ensure that you make the photographer at the event aware of your preference.

Where ASLLUK processes Sensitive Personal Data (as defined by data protection legislation), ASLLUK shall rely on your consent and you are not obliged to provide such information.

Who might ASLLUK share personal data with?
The Executive Committee of ASLLUK will share personal data between each other in order to achieve the objectives of our association as described above. The committee consists of barristers and solicitors who shall maintain the confidentiality of your personal data and the Data Protection Officer is usually the current General Secretary of the association. ASLLUK may also share personal data with data processors. For example, persons who may sign an agreement with ASLLUK for the purpose of obtaining and maintaining the services related to ASLLUK’s website.

PayPal may process your personal data. For example, where you purchase tickets for ASLLUK’s events. However, please note that when providing personal data to PayPal for ASLLUK’s purposes, a data subject will be re-directed to a PayPal website. ASLLUK itself does not process the personal data of its members or non-members for PayPal. ASLLUK is not responsible for any processing of any data by PayPal. Hence, it is important that you review the PayPal Privacy Statement before sharing your details with PayPal.

ASLLUK may interact with other organisations, such as sponsors and venues, who may they themselves be independent data controllers. ASLLUK is not responsible for the processing of personal data by such organisations and you should contact them directly about their privacy policy in relation to personal information.

Occasionally we may provide links to other websites for your convenience and information. These websites operate independently from ASLLUK and are not under our control. These sites may have their own notices or terms of use, which we strongly suggest you review if you visit any linked websites. Our association processes, stores and protects your personal data in the manner as required by GDPR and your data will be stored within the United Kingdom.

How long will ASLLUK keep my personal data for?
We shall hold your personal data as long as you continue to be associated with the objectives of our association either as a member or non-member. We shall store data of non-members for a limited period of 12 months and delete them securely thereafter.
